Year rollover (School Admin)
A guided end-of-year flow: promote students into the new year, carry courses forward, and graduate or withdraw leavers — with full revert.
What this page does
The Year rollover wizard walks you through the end-of-year transition in one place: choose the source and target academic years, decide how each course carries forward (clone a fresh copy or reset in place), set what happens to each student (promote, retain, graduate, withdraw or skip), then run it. A pre-flight summary shows exactly what will change, and every run can be reverted from History.
The flow is a five-step stepper: Years → Courses → Students → Confirm → Done. Instance-backed activities (exams, papers, OMR) are cloned as unpublished drafts so nothing goes live by accident.
Year rollover is an Org Owner / Org Admin operation — it restructures the whole school for the new academic year.
Common tasks
Years — pick the current year and the new year, choose the default strategy (Clone recommended, or Reset in place), then Build plan.
Courses — review every course, adjust its strategy and new-year name, and resolve any name-collision warnings.
Students — grouped by course, set an action per course ("Set all to…") or override individual students, and choose each promotion destination.
Confirm — read the pre-flight counts, optionally make the new year active and deactivate logins for leavers, then Run rollover.
Done — review the results and any errors; click Start another or open History.
Reset in place wipes the existing course's student data for the new year — the Confirm step warns you when any course uses Reset. Use History → Revert to undo a run: it re-activates leavers, restores profiles and un-archives source courses, but cloned courses and reset data are NOT restored.
Steps & controls
Step 0 — generates the course + student plan from your year and strategy choices.
Clone makes a fresh copy of each course in the new year; Reset in place reuses the same course and clears its data.
Per-student dropdown: promote, retain, graduate, withdraw or skip, with a destination course when promoting / retaining.
Confirm step — executes the plan. Optional toggles set the new active year and deactivate leaver logins.
Lists past runs with status and a Revert action (disabled once already rolled back).
